Your appointment time is reserved specifically for you. Please read our booking, amendment and cancellation terms before confirming your appointment.
Booking Deposit & Cancellation Policy
Set out below are the terms relating specifically to appointment deposits, cancellations, rescheduling and changes to appointments at Peonia Medical.
Please ensure that you have read and fully understood these terms before paying a deposit or confirming an appointment.
1. Booking Deposits
A booking deposit is required to secure most appointments at Peonia Medical.
The amount required depends on the appointment or treatment type.
In general:
- £200 is required for most non-surgical appointments and treatments.
- £500 is required for surgical appointments and selected treatments requiring longer clinical time or additional preparation.
The exact deposit required will be confirmed when your appointment is booked.
Once paid, the deposit reserves that appointment time specifically for you and allows our clinical team to prepare appropriately for your consultation or treatment.
2. Changing or Cancelling an Appointment
We understand that plans can change.
If you need to cancel, reschedule, change the date or time, or make any other change to your appointment, you must contact Peonia Medical at least 48 hours before your scheduled appointment time.
The 48-hour notice period applies equally to cancellations and amendments.
Where sufficient notice is provided, your deposit can normally be transferred to your rearranged appointment, subject to the applicable booking terms.
3. Changes or Cancellations Within 48 Hours
Any cancellation, rescheduling request or other change made less than 48 hours before the scheduled appointment time will be regarded as a late cancellation or late amendment.
In these circumstances, the booking deposit will normally be retained by Peonia Medical.
A new deposit will then be required before another appointment can be secured.
Changing an appointment to another date or time within the 48-hour period is treated in the same way as cancelling the appointment.
4. Failure to Attend
If you do not attend your appointment and have not provided at least 48 hours’ notice, the appointment will be treated as a non-attendance.
The booking deposit will be retained and a new deposit will be required before another appointment can be booked.
5. Illness and Unexpected Circumstances
We appreciate that illness and unexpected circumstances can arise.
Please contact us as soon as you become aware that you may be unable to attend your appointment.
The standard 48-hour cancellation and amendment policy still applies.
In exceptional circumstances, Peonia Medical may choose to review an individual case at its discretion. Any exception offered on one occasion does not alter the policy or create an entitlement to an exception for future appointments.
6. Existing Patient Account Credit
Where an existing patient has sufficient credit held on her Peonia Medical account, the clinic may allow the required booking deposit to be reserved against that balance rather than requesting a separate payment.
The same 48-hour cancellation and amendment terms apply.
If the appointment is cancelled, changed or missed within 48 hours, the applicable deposit amount may be deducted from the patient’s existing account balance.
7. Prepaid Treatment Courses and Packages
Patients who have already paid in full for a treatment course or package will not normally be asked to pay an additional booking deposit when arranging an appointment included within that package.
However, the same 48-hour cancellation and amendment policy applies.
If an appointment forming part of a prepaid package is cancelled, changed or missed within 48 hours, a £200 late cancellation charge will normally be payable before further appointments within that treatment course can continue.
8. Why We Require a Deposit
Our doctors’ clinical time is carefully allocated and appointments are often booked well in advance.
Many appointments also require preparation of treatment rooms, equipment, products, documentation or procedure-specific materials before you arrive.
A deposit allows Peonia Medical to:
- reserve clinical time specifically for you;
- organise appointment availability fairly for all patients;
- prepare appropriately for your consultation or treatment;
- reduce clinical time lost through late cancellations and non-attendance; and
- maintain a reliable appointment system for our patients and clinical team.
9. Deposits and Treatment Payments
A booking deposit is primarily used to secure your appointment.
Where applicable, the deposit may subsequently be applied towards your treatment or appointment charges.
The treatment of consultation fees, consultation vouchers and other account credits may be subject to separate terms depending on the type of consultation or treatment booked.
If you are unsure how a particular payment will be treated, please ask our team before confirming your appointment.
10. Agreement to This Policy
By paying a booking deposit, authorising Peonia Medical to reserve deposit funds from an existing account balance, or confirming an appointment to which this policy applies, you are agreeing to the terms of this Booking Deposit & Cancellation Policy.
If you need to change or cancel your appointment, please contact us at least 48 hours before your scheduled appointment time.
This policy should be read together with Peonia Medical’s general Terms & Conditions.
